What this policy covers
This policy explains how we collect and use your personal information when you visit our website www.radleyhealth.co.uk, submit an enquiry, book an appointment, or sign up to our mailing list.

It does not cover the confidential handling of your medical records once you become a patient. Your clinical information is managed separately under professional and legal duties of confidentiality. Our website may link to other sites; we are not responsible for their privacy practices, so please check their own policies.
The information we collect
We only collect information that we need to respond to you and provide our services.

-
Enquiry form: your name, email address, telephone number, and whatever you choose to tell us in your message.
-
Appointment booking: your name and contact details, your appointment preferences, and any health information you choose to share when booking. Information about your health is "special category data", which has extra protection under the law.
-
Mailing list: your email address, and your name if you give it.
-
Website usage: when you consent to non-essential cookies, we collect information such as the pages you view, how you arrived at the site, and general information about your device, browser and IP address. See "Cookies and tracking technologies" below.

Please avoid sharing detailed medical information through the website's enquiry form. It is better to discuss these matters during your consultation.
How and why we use your information
Under UK data protection law, we must have a valid "lawful basis" for using your information. The bases we rely on are:

-
Responding to your enquiry and arranging your care: because it is necessary to take steps at your request before entering into a contract, and because we have a legitimate interest in running the practice and replying to you.
-
Any health information you share: we rely on your explicit consent and, where it relates to your care, the provision of health treatment (Article 9(2)(a) and 9(2)(h) of the UK GDPR). You can withdraw consent at any time.
-
Sending you our newsletter: we require your explicit consent, which you can withdraw at any time using the unsubscribe link in any email.
-
Analytics and advertising cookies: we require your explicit consent, given through our cookie banner.

We will not use your information for automated decision-making that has a legal or similarly significant effect on you.
Cookies and tracking technologies
Cookies are small files stored on your device. We use two kinds:

-
Essential cookies, which are needed for the website to work and are always on.
-
Non-essential cookies, which include Google Analytics (to understand how the site is used), the Meta (Facebook/Instagram) Pixel, and Google Ads conversion tracking (to measure and improve our advertising).

Non-essential cookies are switched off by default and are only set after you accept them through our cookie banner. When these tools are active, some information about your visit, including the pages you view, is shared with Google and Meta.

You can change or withdraw your choices at any time by managing cookies within your browser's settings.

We keep the Meta Pixel and advertising tools under review to limit the information shared on pages about specific health topics.
Who we share your information with
We do not sell your personal information. We share it only with trusted providers who help us run the practice and website, and who act on our instructions:

-
Website, hosting and mailing list: Wix
-
Appointment booking: Medmin Ltd
-
Analytics and advertising: Google (Analytics and Google Ads) and Meta (the Pixel), where you have consented.

These providers handle your information under their own privacy policies, which you can read on their websites, including Wix, Google and Meta.

We may also disclose information where we are required to by law, or to protect the safety of our patients or others.
International transfers
Some of our providers, including Google and Meta, are based outside the UK. Where your information is transferred abroad, we make sure it is protected by appropriate safeguards recognised under UK law, such as transfers to a country the UK considers to provide adequate protection, or standard contractual clauses (the International Data Transfer Agreement or Addendum).
How long we keep your information
We keep your information only for as long as we need it.

-
Enquiries that do not lead to an appointment: 12 months (unless explicit consent is given to continue to receive updates via our mailing list - see below).
-
Mailing list: until you unsubscribe.
-
Website analytics: 14 months.

Your medical records are kept separately and for longer, in line with current GMC guidance and legal requirements for the retention of patient records.
How we keep your information secure
We take appropriate measures to protect your information, including using reputable providers, restricting access to those who need it, and using secure, encrypted connections for our website and booking. No system can be guaranteed completely secure, but we take reasonable steps to reduce the risk of loss, misuse or unauthorised access.
Your rights
Under UK data protection law you have the right to:
-
ask for a copy of the information we hold about you;
-
ask us to correct information that is wrong or incomplete;
-
ask us to delete your information in certain circumstances;
-
ask us to restrict or object to how we use it;
-
ask us to transfer your information to another provider where this applies; and
-
withdraw your consent at any time, where we rely on consent.

To exercise any of these rights, please contact us using the details at the end of this policy. We will respond within one month. There is normally no charge.
Children's privacy
Our services and this website are intended for adults. We do not knowingly collect information from children. If you believe a child has provided us with their information, please contact us and we will remove it.
Changes to this policy
We may update this policy from time to time. The date at the top of the page shows when it was last reviewed. Please check back occasionally to stay informed.
How to contact us or complain
If you have a question or wish to exercise your rights, please contact us at hello@radleyhealth.co.uk.

If you are unhappy with how we have handled your information, you have the right to complain to the Information Commissioner's Office (ICO), though we would be grateful for the chance to put things right first.
